Please ensure you complete it correctly, any missing or incorrect information will delay the start of your sessions.

Having valid emergency contact details is a clinical safety, ethical and safeguarding requirement under my governing body BACP, I am therefore required to hold emergency medical contact details before we can begin any therapeutic work.


Even if you use private medical insurance or self pay you must provide your private GP contact information.


I operate under strict confidentiality and will never contact your GP/Doctor to discuss routine therapy. I would only use this information in an absolute emergency where I feel there is a significant risk of harm and/or if I feel you were in immediate danger.


If I ever felt there was something to share with your GP I would discuss it with you first and I would need you to complete a waiver form to provide your informed written consent for me to do so. 


If you frequently travel or live outside the UK please provide your local GP/Doctor information and keep me updated when you move location. Or if you use a global private GP clinic such as a concierge medical service, please provide your Doctors name, the clinic address and 24 hour medical contact number.

1.1 Confidentiality

To create and maintain safety and privacy within the therapeutic relationship, the content of our sessions is strictly confidential between you and I, this is essential. Therefore, recording of online, face to face and/or phone sessions are strictly prohibited. 


Please be aware that if any of the following exceptional circumstances were to occur, I may have to break that confidentiality:

  • If I believed that you were in immediate danger or significant risk of harm

  • If I were issued with a court order

  • If I suspect you are/were involved in a terrorist or criminal activity which may cause harm to yourself or to others

  • If I believed your interests would be better served by another health professional with more specific expertise. In such cases, I will discuss it with you first and obtain your informed written consent to waive confidentiality. However, if I believed at any time that you were incapable of providing written informed consent and/or pose a significant risk to yourself or others, I reserve the right to waive the need for such consent in order to minimise this risk.

  • If you request for me to write to your GP or other professional. In such a case, I will ask you to complete and sign my confidentiality waiver form providing me with informed written consent to break confidentiality.

  • I am ethically bound by the NCPS and BACP to have regular supervision for professional practice and so will at times need to discuss my work with my supervisor, although your identity is always protected.

1.2 Sessions

  • Sessions are for 50 or 90 minutes although please allow a little extra time for you to process after each session before returning to work and other commitments.

  • Weekly sessions are recommended particularly in the early stages.

  • During your first few sessions I will carry out a written assessment, this helps to formulate your goals and identify a therapeutic plan.

  • We will review your pogress from time to time and ajust the freqnecy of sessions according to your needs.

  • If you arrive late for your appointment your session will still finish on time as planned due to appointments following yours.

  • Please do not arrive early for face to face sessions both to avoid crossing paths with other clients (as I do not have a waiting room) and because I need time to write up my notes and prepare for your session.

  • Please be aware therapy is a journey and requires a commitment to the process, it is not a quick fix. 90% of my clients over the past 20 years or so have needed at least 8 -12 of therapy, particularly those with childhood trauma and no previous therapy. Whilst ther are some who are ready to move on after 6 months of therapy this is rare. It is therefore important you commit to booking in weekly sessions for a minimum of 8-12 sessions. We will discuss when feels the right time to move to every 2 weeks, for most of my clients it is around the 8 month mark.

1.3 My Fees

  • You can book and pay for your sessions or a 4 session package or a 12 session programme online via my website vickimorganti.com (see online for my fees).

  • You can also request a regular appointment day and time via email and I will email you an invoice each month - manual bookings via invoice require payment BEFORE the start of your session for your session to go ahead.

  • Discount and concessionary rates are available for student counsellors etc. evidence of study is required. Please understand discounted and concessionary rates are very limited.

  • Letters requested for evidencing attendance in therapy, a referral, to inform your GP of concerns or to support an application/claim etc are charged at £25.00 per letter. Where I feel I need to inform your GP/social worker/police of my concerns at a matter of urgency for your wellbeing or a safeguarding matter you will not be charged.

1.4 Cancelling or rescheduling session policy

  • I have a 24 hour minimum cancellation policy, you can cancel and reschedule your sessions via my online booking system any time but you will be charged the full fee with less than 24 hours notice.

  • If you become unwell and need to cancel with less than 24 hours notice please email me and I will try my best to offer you a different appointment instead (later that week only), unfortunately if I cannot due to lack of availability or your appointment is on a Thursday you will still be charged for the late cancellation.

  • It is very rare that I need to cancel or rearrange an appointment but in the unlikely event that I need to do so I will give you as much notice as I can and where possible I will offer you as a priority my next available appointment that week (depending on my availability).

  • I aim to have 3-4 weeks off a year. This will include two weeks in the summer, a week to 10 days over the Christmas period and a week in the spring. I will give as much notice as possible if this will affect your regular appointment.

  • Please be aware I will not be able to work with you if you are under the influence of drugs or alcohol, or if you become in any way violent of abusive, your session will be terminated on the spot if I suspect or feel that this is the case and you will still be charged for the session, no refund will be provided.

1.5 Illness, adverse weather, loss of Wifi

  • If you have or suspect you may have any infectious illness or feel generally unwell, please do not attend your In person/Face to face session, let me know as soon as possible via phone or text on - 07880 901 202. You will be offered a phone or online session instead. This is to protect the interests of myself and other clients.

  • In cases of severe weather conditions such as heavy snow, flooding and wind/storms that prevent you from attending your In person/Face to face session, your session will go ahead as an online session and you will emailed a Zoom link.

  • If online sessions are having connectivity issues, please turn off your video camera, if that does not resolve the problem or there is a complete loss of internet/Wifi your session will be finished via a WhatsApp call.

1.6 Outside Counselling Hours

Please understand I am unable to offer counselling support outside your booked appointment time, whilst I appreciate things can happen in between appointments, please share all updates, concerns, news, thoughts and feelings in your next session and only contact me via email, phone or text should you need to cancel or rearrange an appointment.

1.7 Online (Zoom) and Phone call policy

  • For Phone (WhatsApp), Zoom, (Facetime -if connection issues) online sessions, it is very important we work together to protect your privacy and confidentiality. I will protect your confidentiality in the same way as I would in person and in accordance with my normal ethical practice and in alignment with the BACP code of ethics that I am bound by. However, it is your responsibility to ensure that both you and I cannot be overheard your end during your phone/online session.

  • Recording of all phone or online sessions is strictly prohibited.

  • For all phone calls I will call you on the number you provided above or via your online booking - please ensure all informations entered is correct before booking your session.

  • A Zoom link will be emailed to you immediately after you book online, I will email you a Zoom link before your session if you book manually.

  • Please ensure you are ready 10 minutes before your session time and ensure you have a good internet connection.

  • Please ensure I can clearly see your face for online sessions, that lights are on at night and if there is a window behind you the curtains are drawn to avoid creating a shadow.

  • Please ensure you have a good phone reception/Wifi connection before your phone/online session appointment time and enough battery charge for the duration of the session or plug in your laptop/Ipad as Zoom will drain your battery!

  • Please use headphones (if possible) during your session to create more privacy and less echo and background noise

  • If Wifi connection is intermittent, try turning off your video temporarily, if that fails, log off and log back on again, if that fails I will try and finish the session via a WhatsApp call.

  • Please find a quiet place to sit where you will not be overheard and not disturbed during your session.

  • Please do not drive or use public transport during your phone of online session.

  • Please treat your phone/online session as you would an In person/ Face to face session and give your full attention. Do not attend to other tasks such as exercise, housework, eating, computer work, cooking, caring for children, chores etc during your phone session.

  • If you prefer to be outside for your session, please ensure you cannot be overheard and protect your phone’s microphone from the wind as it can make it hard to hear you.

1.8 GDPR Privacy Policy

I am committed to protecting your privacy. Any personal data (about you or your family) provided by you to me through any means (verbal, written, in electronic form, or by your use of my website) will be held and processed in accordance with this privacy policy as set out below and the data protection principles set out in the Data Protection Act 1998 and the General Data Protection Regulation 2018.

 

What information do I collect?

I may collect the following information:

  • First name and surname

  • Contact information including address, phone number, email address

  • Job title and place of work

  • Demographic information such as postcode, preferences and interests

  • Sensitive personal information such as:

    • Gender, ethnicity and marital status

    • Religious or other cultural beliefs

    • Information on your family such as partner and children’s names

    • Physical or mental health condition and history

    • Sexuality

    • Offences (including alleged offences)

    • GP/doctor and their clinic address and contact details

    • Financial information, including bank account details

  • Other relevant information to my service and feedback

 

What do I do with the information I gather?

I require this information to understand your needs and provide you with a service, and in particular for the following reasons:

  • To respond to any enquiries

  • To provide a professional counselling service

  • To offer suitable counselling appointments

  • To notify you via phone, text, email and newsletters about changes to your appointments and/or other changes to my business and services

  • To seek feedback from you on your experience of my service

  • To ensure and maintain the accuracy of my records

  • To identify and protect those at risk of harm

  • To improve my service and ensure it is provided in the most effective manner for you

  • To maintain my professional and legal obligations

 

Client notes, personal contact details and other documentation are kept for as long as necessary and then destroyed/deleted after a long period of no contact or updates.


What information do I share?

I will not share any information about you with other organisations or people, except in the following situations:

  • Consent – I may share your information with professionals or others whom you have requested or agreed I should contact

  • Serious harm – If I believe you will cause serious physical harm to yourself or another person or that a child is at significant risk of harm then I may not be able to retain confidentiality and may inform one or more of the following; my supervisor/your GP/social services/police. However, I will in most cases discuss this with you first.

  • Compliance with law – I may share your information where I am required to by law or by the regulations and other rules to which I am subject. Confidentiality will also be broken in the event of any awareness of a terrorist act.

  • Professional supervision – I am ethically bound by the BACP to have regular supervision for professional practice and so will at times need to discuss my work with my supervisor. I will use a client ID number or your first name only if necessary and avoid where possible other identifying details about you.


On very rare occasions if I discover there is a need to communicate with other professionals such as a referral to another professional or organisation, this will only happen by first seeking your permission and knowledge of what is going to be discussed. However, if I believed at any time that you were incapable of providing written informed consent and pose a significant risk of harm to yourself or others, I reserve the right to waive the need for such consent in order to minimise this risk.

 

Third parties

I do not use your contact details or any other information gathered, whether this is via verbal communication (by phone or in person), written notes, records or forms or any electrical device (ie mobile phone, laptop, website) for any marketing purposes nor are they provided to any third party for use for marketing purposes. The information I gather from you is solely for the purposes as described above.

 

Website and Cookies

The collection and use of data provided by you on my website is not used for any marketing purposes nor provided to any third party for use for marketing purposes. It is used solely to make contact with you and respond to your request for my service and to keep you up to date of my services via a newsletter and emails.

 

On occasion, I may gather information about your computer for my services and to provide statistical information regarding the use of my website, such information will not identify you personally it is statistical data about my visitors and their use of my site. This statistical data does not identify any personal details whatsoever. Similarly I may gather information about your general Internet use by using a cookie file. Where used, these cookies are downloaded to your computer automatically. This cookie file is stored on the hard drive of your computer as cookies contain information that is transferred to your computer’s hard drive. They help me to improve my website and the service that I provide to you. All computers have the ability to decline cookies. Activating the setting on your browser, which enables you to decline the cookies, can do this. Please note that should you choose to decline cookies, you may be unable to access particular parts of my website.

 

Security

I am committed to ensuring that your information is as secure as reasonably possible. In order to prevent unauthorised access or disclosure I have put in place suitable physical, electronic and managerial procedures to safeguard and secure the information I collect from you; in person electronically, via phone, email and online (such as locked drawers, computer passwords, external hard drives, encryption, secure servers, two-step verification, mobile and internet security). When completing online forms via my website WIX applies enhanced levels of security to encrypt and protect your stored data and limits how it can be processed. Any email, mobile, phone or internet (Zoom/Whatsapp etc) you choose to use to communicate with me is subject to limits of confidentiality from providers. Unfortunately, the transmission of information via the internet is never completely secure. Although I will do my best to protect your information I cannot guarantee the security of your data transmitted to me via email, including forms and those completed on my website, any transmission is at your own risk.

 

Please note my personal home security system will video record you entering and leaving the premises. However, this is routinely deleted and not shared with any third parties.

 

Your Rights 

Under the Data Protection Act 1998 and GDPR 2018, you may request sight of or withdraw your consent for me to hold and process your data at any time, even if you sign a consent form, you still have the right to withdraw your consent. You also have the right to require me to correct any inaccuracies in your information. To do this you will need to contact me (as the data controller) in writing. However, without your consent I will no longer be able to provide a service for you, so if you do this while actively receiving counselling, your counselling with me would have to end.

 

Corrections and Concerns

If you believe that information I hold about you is incorrect or out of date, please contact me and I will update your records. If you have concerns about how I handle your personal information, please contact me and I will try to resolve those concerns. If you wish to have your personal information deleted, please let me know and I will take reasonable steps to delete it (unless I need to keep it for legal, insurance, auditing or internal risk management reasons).

Regardless of the country you live in, all counselling/Emotional Truth and Transformation work undertaken is in accordance with the laws in the UK, any disputes therfore, will be subject to the UK's law and jurisdiction.
